Privacy policy

Overview

This Privacy Policy explains how Applied Interactive Media ("we", "us", "our") handles information when you visit aimltd.net (the "site"). The site itself contains no contact forms, user accounts, comment sections, or other interactive features. The only ways you can send us personal information are by contacting us directly by email or phone, as described in Section 5.

1. Information We Collect

Server logs. Like most websites, our web server automatically records certain technical information each time the Site is accessed. These log entries may include:

  • Your IP address
  • The date and time of your request
  • The pages or files requested
  • Your browser type and version (user agent string)
  • The referring page (the URL you came from), if any
  • HTTP status codes and the amount of data transferred

The site does not ask you to enter any personal information, as it contains no forms or other data-entry features.

Information you provide when contacting us. If you choose to contact us by email or phone, we receive whatever information you provide (see Section 5).

2. How We Use This Information

We use server log data solely to:

  • Operate, maintain, and secure the site
  • Diagnose technical problems and server errors
  • Detect, prevent, and investigate abuse, attacks, or unauthorised access

We do not use log data to build profiles of individual visitors, and we do not sell it.

3. Legal Basis for processing

We process personal data in accordance with the UK GDPR and the Data Protection Act 2018.

Server logs. We process server log data, which may include your IP address, on the basis of our legitimate interests (Article 6(1)(f) UK GDPR) in keeping the site secure, diagnosing technical problems, and ensuring it functions properly. Under UK law, an IP address may constitute personal data.

Direct communications. Where you contact us by email or phone we rely on our legitimate interests in responding to and managing enquiries, or, where relevant, on the need to take steps at your request or to perform a contract (Article 6(1)(b) UK GDPR). This is described further in Section 5.

4. Third-Party Services

Cyber Essentials certificate. Each page displays our Cyber Essentials certificate, which is loaded from the Blockmark Registry (registry.blockmarktech.com). When it loads, your browser connects directly to Blockmark's servers, which will receive your IP address and other standard technical information. This processing is governed by Blockmark's own privacy policy; we do not control Blockmark's data practices.

Google Maps. The contact section of our home page includes an embedded map provided by Google Maps, which loads automatically when that part of the page is displayed. When the map loads, your browser connects directly to Google's servers. Google may receive your IP address and other technical information and may set cookies in accordance with its own policies. This processing is governed by Google's Privacy Policy: https://policies.google.com/privacy. We do not control and are not responsible for Google's data practices.

5. Contacting Us (Email and Phone Communications)

If you contact us by email at support@aimltd.net or by phone on 01704 823700, we will receive the information you choose to provide, such as your name, email address, phone number and the content of your message, and may retain it so that we can respond and, where relevant, verify your request.

In some cases we may ask you to provide additional information in order to confirm your identity or to properly handle your enquiry. Providing this information is voluntary, but we may be unable to assist you without it. We only ask for what is necessary for the matter at hand.

Purpose and legal basis. We use this information solely to respond to and manage your communication. Our legal basis for processing this information is our legitimate interest in responding to your enquiry, or, where relevant, taking steps at your request before entering into a contract or performing a contract with you.

Retention: We log and retain records of support tickets and related communications for the duration of our relationship with your organisation and on an ongoing basis thereafter. We do this to maintain an accurate service history, support recurring or long-term technical issues, meet contractual and business record-keeping needs, and to resolve any future disputes.

6. Data Retention

Server logs are retained for 90 days and then deleted, except where longer retention is necessary to investigate a security incident or comply with a legal obligation. Retention of direct communications is described in Section 5.

7. Data Sharing

We do not sell or rent any information. We may disclose or store information only:

  • With our infrastructure provider on whose servers the site and its logs are hosted
  • Where required by law, court order, or a valid legal request
  • To protect our rights, safety, or property

8. Your Rights

Under the UK GDPR and the Data Protection Act 2018, you have a number of rights over your personal data. These include:

  • The right to be informed about how we use your personal data (as set out in this policy).
  • The right of access to personal information we hold about you.
  • The right to rectification of any data we hold about you that may be incorrect or incomplete.
  • The right to erasure of personal data we hold in certain circumstances.
  • The right to restrict processing in certain circumstances.
  • The right to object to processing that is based on our legitimate interests.
  • The right to data portability in certain circumstances.

To exercise any of these rights, please contact us using the details in this policy. We will respond within one month, as required by law.

If you are unhappy with how we have handled your personal data, you have the right to lodge a complaint with the Information Commissioner's Office, the UK's data protection regulator:

9. Children's Privacy

The site is not directed to children, and we do not knowingly collect information from them.
